How Many Shirts To Order, And In What Sizes

The most common event mistake is not the design, it is the size spread. For a general adult crowd, a spread of roughly 10% small, 25% medium, 30% large, 20% XL and 15% 2XL and up will fit most Southern California events. For a 5K skew slightly smaller; for a car show or a church picnic skew larger. Order 10% over your registration count, walk-ups happen, shirts get claimed by volunteers, and a leftover box of mediums is a far cheaper problem than turning away a donor.

Timeline That Actually Works

Four weeks out: lock the design and sponsor logos. Three weeks out: approve the proof and place the order. One week out: shirts in hand, sorted by size into boxes for the check-in table. Same-week turnaround is possible here and we do it often, but the artwork is what usually runs late, not the printing. Get sponsor logos in vector format early, because chasing a marketing department for a usable file is what blows the schedule.

Sponsor Logos Without The Headache

Back-of-shirt sponsor blocks are how most events fund the shirts. Two practical rules: cap it at what will still be legible from ten feet, and set a logo deadline earlier than you think you need. If a sponsor sends a low-resolution file pulled off their website, our design team can usually rebuild it as vector art, tell us early rather than the day before production.

Choosing The Right Shirt

Runners want a lightweight performance tee that wicks; festival crowds want a soft cotton tee they will wear again; volunteers should be in a color nobody else has so attendees can find help instantly. A single-color print on a mid-weight blank is the budget workhorse, and for events, budget usually matters more than fabric prestige.
